Effective Email Signature Design This may seem like a completely obvious point, but your signature is hugely important. You can't just hand your business card over in an email so the signature takes place of your business card.

Every email client, whether desktop or mobile, has the option to set an automatic signature. Take a moment to configure that setting and every message you send will have a closing without having to type anything extra and it will always be consistent.

Checklist to consider when designing your email signature:

  • Name of individual
  • Job title of individual
  • Qualifications / certifications
  • Logo
  • Name of business or organisation
  • Contact phone number, land line, mobile and/or 0800 number
  • Postal address
  • Fax number
  • Email address
  • Website address

We make sure your email signature is effective:

  • Keep it as short as you can while providing all of the information you deem most important. You can condense information into fewer lines by using pipes (|) or colons (::) to separate the text.
  • Use your contact preference to avoid including multiple phone numbers and email addresses.
  • Include your email address, incase it is not included in the replies and forwards.
  • The top of the email is not for pretty images.
  • Keep the number of linked images to a minimum.
  • Any critical branding elements should be created as text, simple plain text is best; skip colors, special fonts and graphics.
  • If you must use CSS, then use in-line CSS orate identity strategy. It should follow the same graphics standards as the rest of your communications material (stationary, brochures, letterheads, etc).
  • Sometimes a single email signature is not appropriate for all aspects of a business. People may have different signatures for different occasions.
  • Use a shorter version of your signature for reply emails.
